Because our platform is used to operate behavioral health (ABA) services, certain information must be retained well beyond the closure or deletion of an account. We retain user, session, and billing records for the longer of the period required by applicable law or the period needed to fulfill the purposes described below, which include:

  • Ensuring that insurance claims associated with sessions can be fully submitted, adjudicated, reprocessed, reconciled, appealed, and audited
  • Allowing the organizations we serve to meet their own clinical, financial, and regulatory recordkeeping obligations
  • Supporting payer, government, or internal audits and any related disputes or investigations

Legal and Healthcare Record Retention

As a service used by healthcare providers, we and the organizations we serve are required to retain medical, behavioral health, and billing records to comply with the Health Insurance Portability and Accountability Act (HIPAA) and applicable state record-retention laws. Consistent with these requirements, we retain such records for a minimum of six (6) years, and longer where applicable law requires. State laws may mandate longer periods, and records relating to minors are generally retained until the individual reaches the age of majority plus the additional period required by the applicable state. We retain each record for at least the longest period required by applicable law.

When your information is no longer required for the purposes described above or to satisfy our legal, regulatory, tax, accounting, or audit obligations, we will securely delete it or de-identify it so that it can no longer reasonably be associated with you. Residual copies of data may remain in our backup systems for a limited period and are purged on a regular schedule.

You or your organization may request access to, correction of, or deletion of your personal information by contacting us. We will honor such requests except to the extent that we are required or permitted by law to retain the information, as described in this section.

6. Your Choices

You may update your account information at any time by logging into your account settings, and you may request deletion of your account and associated data. Deletion is subject to the limitations described in the Data Retention section above, as we may be required to retain certain records for claims processing, compliance, and legal obligations. You may also opt out of receiving marketing communications from us by following the unsubscribe instructions included in those communications.

We reserve the right to modify or update this Privacy Policy at any time, in our sole discretion. We will notify you of any changes by posting the revised policy on our website. Your continued use of our services following the posting of any changes constitutes acceptance of those changes.
